Frequently asked questions

Everything you need to know about Heriteo — how the catalogue works, what each plan includes, how families collaborate, and how we keep your data safe.

About Heriteo

What is Heriteo?

Heriteo is a digital heritage platform that combines an objective catalogue of family belongings — photos, tags, condition, valuation — with the subjective memory only family can add: stories, emotional values, and the wishes of each heir. The two together help families preserve history and transition assets fairly across generations.

Who is Heriteo for?

Two kinds of families. Legacy planners want to organize a lifetime of possessions for the people who will inherit them. Estate resolvers are working through a parent's or relative's estate together. You pick your path when you sign up, and the product adapts to it.

How is Heriteo different from a will or an estate-planning lawyer?

A will codifies legal transfers; Heriteo captures the human layer a will cannot — every story, condition, photograph, and the wishes each heir has expressed. The two work together: bring your Heriteo catalogue to your lawyer and your estate plan becomes far more concrete.

What are the four phases of a heritage on Heriteo?

The catalogue (objects photographed, tagged, condition assessed, valued), the memory (stories, emotional values, heir intentions added), heir clarity (each heir has declared intentions on the objects they care about), and transition ready (objects valued and an heir assigned, ready to hand over). The Dashboard tracks progress through all four.

Cataloging your collection

What kinds of objects can I catalog?

Virtually anything of personal or financial value — furniture, jewelry, artwork, vehicles, watches, books, family heirlooms, and more. Each object can hold photos, a description, origin details, an estimated value, and the memories attached to it.

What information does each object hold?

Title, origin, description, free-form notes, multiple photos, attached documents (receipts, appraisals, certificates, insurance papers, legal documents, contracts), tags, a condition grade, a location (property and room), and one or more valuations. You decide how much of that to fill in for each piece.

How is the condition of an object graded?

On a six-step scale: New, Like New, Excellent, Good, Fair, and Salvage. The grade matters because it changes what an heir might want to do with the object — keep, restore, sell, donate, or dispose.

How do tags and tag groups work?

You define tag groups for your family — for example Era, Material, or Side of the family — and add tags inside each group. Each object can hold as many tags as you want, and tags are color-coded so they are easy to scan in lists and albums.

Can I record a value or appraisal?

Yes. Each object can hold one or more estimations, with a minimum and maximum amount, the source (you, a professional appraiser, an auction comparable), and a date — so the history of valuations is preserved as the years pass.

Stories, emotional values & heir intentions

What is an emotional value?

It is a 1–5 rating each heir gives to objects that mean something to them, on a named scale: Distant, Fond, Meaningful, Cherished, and Sacred. Reserve Sacred for the run-back-into-fire pieces — keeping the top of the scale rare is what makes it useful.

How do stories work?

Each object can hold a written narrative, an optional voice recording, and an attribution — to a living family member or a deceased ancestor. Stories are what turn an inventory into a heritage.

What is a heir intention?

Each heir privately declares what they would like to happen to an object, with a strength from 1 to 5, across six possibilities: keep for myself, keep in family, sell, donate, dispose, or no opinion. This makes preferences visible early, when they can still be discussed calmly.

Are my stories and intentions visible to the rest of the family?

Each heir's contribution space is private to them until they decide to share. The admin heir can see aggregated signals — for example which objects still have unresolved intentions — without breaching individual privacy.

Albums

What is an album?

A grouping of objects, in three flavors. Manual albums are hand-curated. Filtered albums pick objects by tag and room. Smart albums save a query and update automatically as the catalogue evolves — useful for living views like "Everything from grandma" or "Items needing restoration".

Who can see my albums?

You choose: an album can be public, family-only, or private. Albums are a great way to share a curated narrative with the rest of the family without opening up your full catalogue.

Family members & collaboration

How do I invite family members?

The admin heir sends an email invitation. The link contains a single-use token valid for 72 hours; if it expires before the recipient acts on it, the admin can re-issue a fresh one in a click.

What roles exist in a family workspace?

Admin (full access — catalogue, workspace settings, invitations), standard (can browse the catalogue and contribute their own stories, emotional values, and intentions), and viewer (read-only). Several heirs can share the admin role.

Can deceased relatives appear in the family tree?

Yes. A person record exists independently from a login account, so stories and origins can be attributed to ancestors who never used a computer. They become part of the family memory the same way as living members.

AI assistance

Does Heriteo use AI?

Optionally. When enabled, the AI service analyses your photos to detect objects in the frame and proposes a title, materials, a condition grade, a description, style tags, and a preliminary estimation — which you then accept, edit, or discard.

Is AI required to use Heriteo?

No. Manual cataloging works end to end. AI is a time-saver for people with hundreds of objects to record; it never replaces your judgment.

Which plan includes AI assistance?

AI Assisted Cataloging is included with the Premium plan. The Starter and Basic plans cover everything else and let you catalog manually within their object limits.

Pricing & plans

Is there a free plan?

Yes. The Starter plan is free and includes up to 5 family members, 1 admin seat, 49 objects, 1 property, and 3 tag groups — enough to try Heriteo on a small collection.

What does the Basic plan include?

Basic is $12 per month or $100 per year and lifts the limits to 15 family members, 5 admin seats, 199 objects, 2 properties, and 10 tag groups — sized for most extended families.

What does the Premium plan include?

Premium is $19.99 per month or $200 per year and removes the seat and tag-group limits — unlimited family members, unlimited admin seats, up to 999 objects, unlimited properties, and AI Assisted Cataloging.

Can I change plans later?

Yes, at any time. Upgrade if your family is growing or you want AI assistance; downgrade if you no longer need the higher limits. Your data stays put across plan changes.

Account & sign-up

How do I sign up?

Create an account with your email and a password, or sign in with Google. You will verify your email before the account is activated. You can register on your own and create a family workspace, or join an existing one with an invitation.

I received an invitation — how do I accept it?

Open the link in the email. If you do not have an account yet, set a password and accept the terms; if you already have one, you can accept the invitation in a single click and join the family workspace.

Privacy, languages & support

Is my data private and secure?

Your catalogue is private by default. Access is protected by JWT-based authentication, XSRF protection, and encrypted connections. We never share or sell your personal data.

What happens to my data if I cancel?

Your data is always yours. You can export your full catalogue — objects, photos, stories, intentions — at any time. If you cancel, we keep your data accessible during a clearly defined grace period and then delete it on request — no hostage-taking.

What languages does Heriteo support?

Six: English, French, German, Spanish, Italian, and Brazilian Portuguese. The full app, the website, and the AI's suggestions all respect the language you choose.
